Key Kapture Privacy Policy
Effective date: October 9, 2026
1. Who we are
This Privacy Policy explains what information Key Kapture collects when you use keykapture.com and the Key Kapture web application (together, the "Service"), how we use it, and the choices you have. Key Kapture is an independent project based in Ontario, Canada ("Key Kapture", "we", "us" or "our"). We are responsible for the personal information described here.
The short version: your music stays on your device. We do not sell your information or show ads.
2. Your audio and sheet music
Processed on your device. When you add a recording, Key Kapture transcribes it in your web browser, on your own device. Your audio files and the sheet music made from them are never uploaded to us or to anyone else. We cannot see, store or recover them.
Downloads. PDF and MusicXML files you export are saved straight to your device.
3. Information you choose to send us
Email sign-up. If you sign up to hear when paid plans arrive, we collect your email address. We use it only to tell you about paid plans and any discount you are owed. You can ask us to remove it at any time.
Beta feedback. If you rate a score, we collect your rating, the reasons you pick and any comment you write. To help us understand the result, we also include a few facts about the score itself: its key, time signature, tempo, length and number of notes. Feedback does not include your audio, your sheet music or the name of your file, and we do not ask for your name or email.
Contact form. If you contact us, we collect your name, your email address and your message, and use them to reply and to look into your question.
These forms are processed by our hosting provider, Netlify, and copies are sent to our email inbox so we can read them.
4. Information collected automatically
Usage statistics. We use Umami, a privacy-friendly analytics service, to count visits and understand how the Service is used. It records things like which pages are visited, the referring website, your browser, operating system, device type and country, and simple actions such as starting a transcription or downloading a PDF. Umami does not use cookies and does not store your IP address, so these statistics do not identify you.
Hosting logs. Like most websites, our host, Netlify, automatically keeps technical logs when you visit, such as your IP address, browser type and the pages requested, for security and to keep the Service running.
Fonts. Some text on the site uses fonts loaded from Google Fonts. When your browser loads them, Google receives your IP address and browser details, as it does for any website using its fonts.
Cookies. Key Kapture does not set cookies.
5. Tips
The tip jar is provided by Ko-fi. If you open it, Ko-fi's page loads inside our site, and anything you enter there, including payment details, goes to Ko-fi and its payment providers, not to us. Ko-fi's own privacy policy applies, and Ko-fi may use cookies.
6. How we use and share information
We use the information above to run and improve the Service, to reply to you, to tell you about paid plans if you asked us to, and to keep the Service secure.
We share information only with the service providers that help us run Key Kapture: Netlify (hosting and forms), Umami (analytics), Google (fonts and our email inbox) and, if you use the tip jar, Ko-fi. They may store information in the United States or other countries outside Canada, where it is subject to the laws of those countries. We may also disclose information if the law requires it.
We do not sell your personal information, and we do not use it for advertising.
7. How long we keep information
We keep email sign-ups until paid plans launch and any promised discount has been offered, or until you ask us to remove you. We keep feedback and contact messages for as long as they are useful for improving the Service or answering you, and delete them when they are no longer needed. Usage statistics are kept by Umami for up to six months.
8. Your choices and rights
You can ask us to tell you what personal information we hold about you, to correct it, or to delete it, and you can withdraw your consent to receiving email from us at any time. To do any of these, use our Contact page. We will respond within 30 days.
If you have concerns about how we handle your information, please contact us first. You also have the right to complain to the Office of the Privacy Commissioner of Canada.
9. Children
The Service is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child under 13 has sent us information, contact us and we will delete it.
10. Security
We take reasonable steps to protect the information we hold, and the Service is served over a secure connection. No method of storing or sending information is perfectly secure, so we cannot guarantee absolute security.
11. Changes to this policy
If we change this policy, we will post the new version on this page with a new effective date. If we introduce paid features, we will update this policy to explain how payments are handled before charging you anything. If a change significantly affects how we use information you have already given us, we will let you know.
12. Contact
Questions about this policy or your information can be sent through our Contact page.
